We are committed to protecting your privacy and handling your data with transparency and care. Propello is designed for UK estate agencies, agency teams, and business platform users. Where we process personal data, we do so in accordance with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.

By using the Propello platform, you consent to the data practices described in this policy. If you do not agree, you should discontinue use of the platform.

2. Information We Collect

We collect the following categories of information to provide and improve our services:

  • Agency Account Details — Your name, email address, agency name, team member details, and account credentials when you register and manage your Propello account.
  • Property Listing Data — Photographs, floor plans, property descriptions, addresses, pricing information, and any other content you upload to generate AI-powered listings and reports.
  • Lead & Contact Information — Names, email addresses, phone numbers, and enquiry details of prospective buyers, sellers, landlords, and tenants that you enter into the platform.
  • Calendar & Scheduling Data — Viewing appointments, follow-up tasks, and scheduling information synced through Google Calendar integration.
  • Agency Branding Data — Your agency's tone of voice, communication style, sample descriptions, templates, and service area preferences configured through the Agency Brain.
  • Usage Data — Information about how you interact with the platform, including features used, time spent, and performance metrics, collected to improve user experience.

3. How We Use Your Information

We use the information we collect for the following purposes:

  • Powering AI Features — To generate property descriptions, listing content, client reports, valuation reports, email newsletters, social media posts, and lead follow-ups using the data you provide.
  • Account Management — To manage agency accounts, team access, roles, and permissions across the platform.
  • Personalised Dashboard — To deliver the Morning Briefing, daily agendas, pipeline insights, and task prioritisation tailored to you.
  • Platform Improvement — To analyse usage patterns and improve the performance, features, and reliability of the Propello platform.
  • Communication — To send service-related updates, feature announcements, and support responses. You may opt out of non-essential communications at any time.

4. AI-Generated Content & Data Processing

Propello uses artificial intelligence to process the data you provide and generate content including property descriptions, reports, emails, social media posts, and marketing materials. This processing is based on your uploaded content, your Agency Brain configuration (tone of voice, style preferences, sample descriptions), and your specified service areas.

AI-generated outputs are designed to reflect your agency's brand voice. You remain responsible for reviewing and approving all AI-generated content before publishing or distributing it.

Content you upload and the AI outputs generated from it remain within the Propello platform and are not used to train public AI models or shared with third parties for AI training purposes.

5. Google Calendar Integration

Propello offers integration with Google Calendar to sync your viewings, follow-ups, appointments, and tasks. When you connect your Google Calendar:

  • Calendar data is synced to display within your Propello Smart Calendar and Morning Briefing dashboard.
  • We do not share your calendar data with any external third parties.
  • We do not use your calendar data for any purpose other than providing the scheduling and briefing features within the platform.
  • You may disconnect your Google Calendar at any time, and synced calendar data will be removed from Propello.

6. Cookies & Analytics

We use analytics tools to understand platform usage and improve the service. These tools collect anonymised data about feature usage, session duration, and interaction patterns.

7. Data Storage & Security
